Senior Officer, Human Resources
Position Summary
The Senior HR Officer will support the Human Resources Department in executing core HR functions at JAAGO Foundation Trust. The individual will assist in recruitment, onboarding, payroll preparation, HRIS operations, documentation, and employee relations. This role requires attention to detail, a service-oriented mindset, and the ability to work collaboratively to ensure efficient HR operations and compliance with organizational policies.
Job Responsibilities
1. Recruitment and Onboarding:
- Assist in the recruitment process, including job postings, resume screening, and coordinating interviews.
- Support in new employee orientations and facilitate the onboarding process.
2. HR Documentation:
- Support in maintaining and updating employee records in the HRIS (Human Resources Information System), i.e., in Zoho or any other software directive given by the management.
- Assist in preparing and managing HR documentation, such as contracts, offer letters, NOC, Salary Certificate, Experience Letter etc.
- Ensure personnel files are completed and updated on time.
3. Employee Relations:
- Serve as a point of contact for employee inquiries and concerns.
- Support staff in resolving queries and concerns related to organizational rules and regulations.
4. Payroll:
- Support in preparing the monthly salary sheet.
- Assist in collecting monthly timesheets from projects.
- Support in collecting information from the staff regarding payroll.
5. HR Projects and Initiatives:
- Participate in HR projects and initiatives aimed at improving HR processes and employee engagement.
- Support the implementation of HR strategies and initiatives.
6. Safeguarding:
- Uphold and promote the organization’s safeguarding policies to ensure the safety, dignity, and well-being of all children, young people, and vulnerable adults engaged in our activities.
- Immediately report any concerns, suspicions, or incidents of safeguarding breaches in line with the organization’s reporting procedures.
- Maintain professional boundaries and conduct that fosters a safe and respectful environment for all beneficiaries, colleagues, and stakeholders.
Qualifications
Education:
- Bachelor’s/Master’s degree in Human Resources Management, Business Administration, or related field.
Experience:
- Minimum 1-2 years of proven HR operations experience.
- Proficiency in HRIS tools and MS Office applications.
- Excellent organizational, analytical, and problem-solving skills.
- Strong interpersonal and communication skills (verbal and written).
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience managing HR processes in donor-funded projects is an added advantage.
- Previous experience working with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics, or equivalent) is highly desirable.
